BYA Policies

REFUND POLICY (ALL SPORTS EXCEPT FOOTBALL & CHEER): 
100% Refund- The BYA will refund 100% of registration fee before being drafted or placed on a team.

50% Refund- The BYA will refund 50% of your registration fee after being drafted or placed on a team prior to the first game of the league season.

0% Refund- NO REFUNDS will be issued after the first league game has been played.

This BYA refund policy is followed regardless of the circumstance.  The BYA incurs costs at each stage once your child is registered.

FOOTBALL & CHEER REFUND POLICY: 
100% refund PRIOR to drafts.  

0% AFTER drafts.

RETURNED CHECK POLICY: 
$30 fee added to all returned checks.

BACKGROUND CHECK POLICY: 
Background checks cost $10 per applicant per calendar year (Jan. 1 to Dec. 31 current year) and are paid by the applicant.  The BYA will not refund any background check fees for applicants that fail the background check or are not asked to volunteer as a coach, assistant coach or team parent for their child's team.  The applicant assumes all risk when submitting their background check information.

Background Check Disqualifications:

No person who has been indicted, charged with, under probation for, received deferred adjudication for, or has been convicted of any of the following shall be permitted to serve as a volunteer (head coach, assistant coach or team parent) or official:

1.  A crime against persons for the past five years; or

2.  Any sex crime.

 

                                                                 IDENTIFICATION BADGE POLICY: 

Once a member has registered and completed a satisfactory background check, they will be issued an identification badge. BYA has three types of identification badges that are issued to members. These badges are good for one year starting January 1 and ending December 31. These badges will be colored according to which type a member is participating in and the colors will change from year to year. The badge will be good for any/all sports for that calendar year. A member will only need one badge for the highest type they are involved in.  For example, A coach that is also a committee member would only need a committee badge.

  • Board of Director badge – Issued to a member who has been elected or appointed of the Board of Directors.
  • Committee Member badge – Issued to a member who has been approved to serve on a sports committee.
  • Volunteer badge – Issued to a member that is approved to volunteer. This includes head and assistant coaches, team parents, or any other volunteer that will be helping.

Once a member has been approved, the Director of Compliance or his/her designee will issue a member the appropriate identification badge. The member will have to sign for the badge acknowledging that it was received. If the badge is lost there will be a $5.00 replacement fee.

These badges MUST be worn during any BYA event including games, practices, and meetings. The VP of each sport will ensure that all members wear the badge during an event. The Director of Compliance or his/her designee will be randomly checking volunteers for compliance in wearing badges. The following is a list of consequences for volunteers not wearing a badge during an event.

 

  • 1st offense – Volunteer will be given a WARNING. They will be checked via the approved list. If they on are the list, they will have the opportunity to retrieve the badge to continue with the event.
  • 2nd offense – Volunteer will be IMMEDIATELY removed from the event. Volunteer will receive a one game suspension.
  • 3rd offense – Volunteer will be IMMEDIATELY removed from the event. Volunteer will be suspended for the remainder of that season. Volunteer will have to attend the next Board of Directors meeting to explain why they should be allowed to continue to volunteer.

 

This policy does not apply to Football and Cheer volunteers while they are participating in Football and Cheer activities because they are governed by additional rules from NWTYFA. This policy WILL apply if a Football or Cheer volunteer participates in any other sport for BYA and they must wear the appropriate badge.
